Client onboarding

A new client signed. What happens next?

Give one coaching offer a clear path from a signed agreement and paid invoice to intake, kickoff scheduling and a prepared first session.

A good fit

When this work can help.

For a coaching practice with one defined offer that needs a consistent intake, welcome and kickoff journey after the correct project’s agreement is signed and invoice is paid.

What to bring.

  • Your coaching offer, agreement and invoice process, including how each is matched to the correct project.
  • Your intake questions, welcome materials, kickoff scheduling rules and pre-session resources.
  • Your existing platform, native portal, access permissions and the person responsible for exceptions.

Built around your process

What we build together.

These are the inclusions in the fixed package. We confirm platform compatibility, implementation details and timing before accepting the work.

01

One client journey

Map one coaching offer from the verified project prerequisites through the first-session handoff.

02

Intake form and five emails

Build one intake form and five onboarding emails around the information, expectations and preparation your clients need.

03

Signed-and-paid project gate

Require both a signed agreement and a paid invoice, matched to the correct project, before onboarding starts. Verify that the agreed platform can enforce this gate before accepting the work.

04

Kickoff scheduling

Connect kickoff scheduling to the approved onboarding journey, after the project gate has passed.

05

Native client portal

Set up the agreed platform’s native portal for onboarding documents and preparation materials. Platform compatibility is checked before accepting work.

06

Internal checklist and training

Create the internal handoff checklist, test the journey and walk your team through the finished system.

The right project must be ready before onboarding starts.

A signature alone or a payment alone must not start onboarding. Both records must match the correct project. Platform compatibility is checked before accepting work; the gate is built and tested before launch.

The fixed package covers one coaching offer and one journey, including five onboarding emails. Additional journeys or requirements outside this package are separately scoped.

The example below illustrates the proposed design. It is not a live Marketing PMP onboarding system or a claim about an already deployed client workflow.

Hypothetical example · not a live workflow

A calmer start for a new client.

A fictional coaching engagement shows how a clear sequence could work. The steps and release rules would be agreed and tested for your tools.

  1. 01 · Verify the projectSigned AND paid gate

Check that the agreement is signed and the invoice is paid, with both matched to the correct project. Keep onboarding blocked if either condition is unmet.

  2. 02 · Gather the essentialsClient intake

Collect the agreed business goals and preparation details. Flag incomplete answers for a person to review.

  3. 03 · Prepare the welcomeWelcome + booking

Share approved instructions and booking access only after the correct project’s signed-and-paid gate has passed.

  4. 04 · Make the handoffCoach review

Check the intake and preparation checklist before the first session.

Short welcome-email example · hypothetical

A clear next step, in your voice.

Hi Alex,

Welcome. Now that your project’s signed agreement and paid invoice have been verified, please complete your intake and use your booking link to choose a session.

Bring the goal you would most like to work on. If anything in the instructions is unclear, reply so we can help you prepare.

Illustrative excerpt only. This is not a sent message or a working booking link. The package includes five onboarding emails.

A clear path forward

Understand it.
Build it.
Put it to work.

  1. 01

    Check compatibility first

Verify that the proposed platform supports the native portal and can enforce the signed-and-paid gate for the correct project before accepting the work.

  2. 02

    Map one onboarding journey

Agree on one coaching offer, the intake form, five emails, kickoff scheduling and the internal checklist.

  3. 03

Build and test the project gate

Require both a signed agreement and paid invoice matched to the correct project. Test missing or mismatched records and ensure onboarding stays blocked when a prerequisite is unmet.

  4. 04

    Hand over with a walkthrough

Walk through the native portal, checklist and finished journey. Explain exception handling and the existing support arrangements.

A few useful details.

What must happen before onboarding starts?

The agreement must be signed and the invoice paid, with both matched to the correct project. The journey must not begin from an unrelated payment or a signature alone. We check platform compatibility before accepting the work and test the gate before launch.

What should I prepare before we start?

Bring your coaching offer, agreement and invoice process, intake questions, welcome materials, kickoff scheduling rules and existing tools. We also need to understand how the correct client and project are identified.

Will this work with our current tools?

We check the available connections, project matching and native portal before accepting work. The fixed package covers one coaching offer and one journey; additional journeys or unsupported requirements need a separate scope.

What happens after launch?

You receive a training session. Support for updates or troubleshooting is available at $100 per incident; larger changes are scoped separately.

How long does setup take?

Timing depends on platform compatibility, access, your materials and the agreed implementation. We confirm the schedule before work begins; there is no guaranteed turnaround.
