New Client Onboarding Workflow Kit

About this kit

Keep agreement, payment, intake and first-session checks connected after a client accepts your coaching offer. This reusable fillable workbook helps you see what is ready, what is on hold and who owns the next action.

One current record from acceptance to the first session

A payment can arrive before an agreement. A form can be submitted before it has been reviewed. A booking can change after the welcome has been sent. The New Client Onboarding Workflow Kit helps you track those events separately and make the next decision using current evidence.

Use your existing agreements, payment records, intake materials and booking process. Define the checks for your service, release the welcome once the required conditions are met, then confirm the first session is ready.

What is inside

A visual onboarding map and reusable client record linking agreement, payment, reviewed intake, welcome, booking and session readiness.

Worksheets for service rules, source evidence, intended client access, missing items, duplicates, changes and cancellations.

Internal handoff and message-ownership records, with a named next action and review time.

A tool-neutral implementation brief, Wix account-capability checks and a practical manual fallback.

A two-part fictional worked case showing payment arriving first, a repeat signup, welcome release and a changed booking.

Ten acceptance-test cases plus a reusable test record and final release checklist.

What you will work through

Choose one coaching service and define what satisfies each prerequisite under your real terms. Assign one engagement reference and a clear owner. Record the evidence, distinguish a welcome-release hold from a session-readiness hold, and give each message one owner.

Test the normal route and the difficult branches: partial intake, duplicate or simultaneous events, a genuine new engagement, changed bookings, cancellation, failed delivery, inaccessible links, outages and edited workflows. Keep a delayed action open until its relevant observation window ends.

Who it is for

Coaches and operations owners coordinating the start of a non-clinical coaching engagement. You need your current client documents, agreed payment arrangements, booking route and access to the people or tools responsible for each step.

Format and use

One 25-page fillable PDF with 82 fields, a clickable page map, 25 bookmarks and internal navigation. Price: $19 USD. No physical item is included.

Keep the original blank and save dated working copies. Use a PDF reader that supports AcroForm fields, and test typing, saving, closing and reopening before use. Some browser and phone previews do not retain entries; fixed-layout pages may need zoom on a phone. You can also print the worksheets.

Use controlled test records and recipients. Check permission before a test sends messages or changes live records. Keep credentials and detailed client answers out of the tracker; refer to the protected source records.

How this fits with the other kits

Coach First Client Starter Kit supplies ten practical documents across the client journey. Coaching Booking & Reminder Kit focuses on appointment details, messages, changes and session access. This Workflow Kit connects the administrative checks and handoffs between those materials.

The Workflow Kit does not supply a coaching contract, detailed intake questionnaire or booking-reminder library. If you already own the Starter or Booking kit, you can buy this individual kit. All three are also included in the Coach Client Onboarding Bundle for $45 USD, compared with $57 separately.

Scope and common questions

Does this install an automation or send messages?

No. It is a planning, coordination and testing workbook. You or the person responsible for your tools carries out setup, sending and changes. Filling in the PDF does not change a booking, stop a queued message or confirm a payment outcome.

Can I use it with Wix?

It includes Wix capability checks and links to official guidance checked on 9 October 2026. Available triggers, conditions and cross-app data depend on your actual account, apps and plan. Verify each step in your tools; keep unsupported steps manual.

Does it replace agreements or professional advice?

No. Use your real agreements, privacy arrangements and applicable obligations. This educational workflow support does not provide legal, tax, clinical or data-compliance advice, or guarantee client outcomes, compliance or software behavior. All worked cases are fictional.
