What you will work through
Choose one one-to-one coaching appointment and use the terms you already agreed with the client. Record the event details, decide who owns each message and check the real booking and joining routes.
Test changes as well as a normal booking. Record expected and actual results, follow pending messages through their send window, and keep unresolved issues open until they have been checked again.
Who it is for
Coaches arranging a first non-clinical, one-to-one session after the client has agreed to begin. You will need access to your scheduling and messaging tools, the calendar and joining link, and a person who can make any necessary changes.
Use your own test addresses and a controlled event. Arrange permission before a live test sends messages, creates records or reserves time, and avoid unintended client messages or payment.
Format and use
One 26-page fillable PDF with 68 fields: 53 text fields and 15 checkboxes. It includes a clickable page map, 26 bookmarks and internal navigation.
Keep the blank original and save a dated working copy. Use a PDF reader that supports fillable AcroForm fields. Test typing, saving, closing and reopening before you begin; some browser and phone previews do not retain entries. Fixed-layout pages may need zoom on a phone.
Copy and adapt the message text in your own sending tool, replacing every bracket and checking its dynamic fields. You can also print the worksheets and write by hand. No physical item is included.
Scope and compatibility
This is a planning and testing workbook. It does not install booking software, configure accounts, connect calendars or send reminders for you.
Provider notes include Calendly and Wix Bookings checks, with sources checked on 9 October 2026. Available controls depend on your current plan, account, event type and integrations. Verify your own tools before relying on an automated step; a manual fallback worksheet is included.
The kit focuses on booking and session access. Intake forms and welcome documents belong in your separate onboarding process; discovery-call sales follow-up is outside its scope.

Product questions
Does this set up or send my reminders?
No. It provides planning worksheets, message copy, examples and tests. You or the person responsible for your tools carries out setup and sending. Check the live booking status before each message.
Can I use it with Calendly or Wix Bookings?
The kit includes capability checks and links to official guidance for both. It is not a software integration or a promise that every plan supports the same controls. Check your current account and test the actual route you will use.
What messages are included?
Five core templates cover confirmation, preparation, reminder, reschedule and cancellation. Two further messages cover connection trouble and the next step when no connection is made. Adapt the wording, timezones, links and policies before use.
Does it tell me the best reminder schedule?
It includes a fictional timing example and a worksheet for your own choices. It does not claim a universal reminder cadence. Use your real service and communication arrangements, and check for duplicate messages.
How does it handle changes and cancellations?
Worked examples and tests prompt you to check the current booking, retire the old time and links, and verify what happens to queued messages. The PDF itself cannot stop an automation or confirm a refund.
How is this different from onboarding forms or discovery-call follow-up?
This kit starts after a client has agreed to begin and focuses on the first appointment: time, access, reminders, changes and backup. It does not replace intake and welcome documents or sales follow-up for a prospective client.
Can I fill it in on my phone?
Use a PDF reader that supports fillable fields and confirm entries survive saving, closing and reopening. Some browser and phone previews do not retain entries. The fixed-layout pages may require zoom; printing is also an option.
Will this prevent missed sessions?
No attendance or no-show reduction is guaranteed. The kit helps you make the instructions clear, test what your tools actually do and record how problems will be handled.
